Please see Confidentiality and Data Recording for a more detailed account.

What data do I hold and why?

The kept data are the personal contact data from booking registration and membership area so that I can contact you and a reminder message to be sent in advance for your session, the data collected about the child, and data resulting from the assessment and rehabilitation and training sessions with your child.

I record on paper or computer documents information about what you tell me about your child (age, medical conditions, and other relevant information necessary for conducting services offered by Vision2Brain) in our sessions depending on the protocol we are using. Often, I record only brief notes, and these act as an 'aide memoir' so that I can review the course of your child´s assessment and rehabilitation programme as time progresses. For some specific protocols, such as functional assessment I complete an electronic template.

I record the number of sessions you have and the payments you make for business purposes. None of these records involve your full name or your child´s name and personal details such as medical diagnosis or other details.

How is it stored?

Most session notes are held on paper and kept locked securely when not in use in a safe box with the code that only the employees of the Vision2Bain have access. Data held electronically is on an external computer disk with a password and locked under protection in the safe box. Phone and email contact details are held on a password protected.

I record appointments on paper in my diary and data about the number of sessions and the payments you make electronically. Your records are held for as long as is necessary for the purpose for which they were collected. Serviceöusers have the 'right to be forgotten' however, and within a month of receiving a written request, all their records will be erased.

Whom is it shared with?

All information will be kept confidential unless the client and therapist agree to discuss something with a third party. Where appropriate a consent form will be electronically signed once you will access and book for one of the services of Vision2Brain. The only reason for breaking confidentiality would be if the specialist considered that your life was at risk, if another person’s life was at risk or if the therapist was liable to civil or criminal court proceedings if the information was not disclosed. If at all possible, this would be discussed beforehand.

In the event of my being unable to contact you (e.g. through sudden incapacity), a trusted person has access to my client list and will contact you directly. This is also a professional requirement. If I experience any data breaches, I will inform you as soon as possible.

Service-users can access their records by making a written request. Service-users´agreement and consent will be sought for the purpose of communication-related to their child/teen´s therapy arrangement. If I experience any data breaches, I will inform you as soon as possible.

Once you have received the confirmation of your booking via email, an invoice will be also sent to your email to confirm your payment.

2. All payments are to be made by electronic transfer, as you are directed by the booking area. We do not accept cheques or cash as a form of payment.

3. The cost of each service is provided in the Service areas of the Vision2Brain website (this website).

Cancellation policy

Service-users, parents, or legal representatives of children are informed of this policy at the time of booking and acknowledge the need to pay a late cancellation or reschedule fee when filling in their initial consult information sheet. They receive a text message one or two days before their appointment which also reminds them of their appointment.

The aim of this policy is:

  • To reduce disruptions to the specialist’s diaries and enable them to organize their time according to scheduled time in preparation because of service-user late cancellations, late rescheduled, and missed appointments.

  • Make sure that other service-users do not miss out on the opportunity to access the services of Vision2Brain.

  • Reduce the income loss as a direct result of service-user cancellations, late rescheduled, and missed appointments. We are a private practice, therefore if a service-user cancels or reschedules late or does not arrive for their scheduled appointment the specialist loses income.

  • To reduce the level of late cancellations, late rescheduled, and missed appointments.

Policy Rationale

Sometimes there are good reasons for canceling or rescheduling appointments. However, unlike brief medical appointments, it is impracticable to fill a kind of service like the ones offered by Vision2Brain that runs for 60 minutes at short notice. If several service-users are late in canceling or reschedule or miss their appointments in one day, then the specialists lose a large amount of their income. If you consider the situation in these terms, as well as the overhead costs associated with a private practice, then you can understand why we must charge a cancellation fee for late cancellations and late rescheduled appointments, and missed appointments.

If for some reason you need to cancel or reschedule your appointment, please give us a notice by email to vison2bain@gmail.com with a minimum of 2 business days' notice, prior to 9.00 am two business days before your appointment, otherwise, you will not be refunded. You should note that calling is the most effective way to ensure we receive appropriate notice, but you can also send an email.

Please note that while we endeavour to remind you of your appointments through SMS reminders, these should not be relied upon and it is your responsibility to remember appointments you have made.

Late cancellation (less than 48 hours notice) or not attend an appointment- No refund.

Please, therefore, ensure that you attend your appointments!
